Sharing Your Inbox

Scenario: You want your support agent to see only VIP customer chats, your manager to have full control, and a freelance translator to view but not send messages. The Share Wizard makes this possible in 4 clicks.

Prerequisites

• An active Spun subscription (any paid plan; the Free Trial cannot share the inbox)
• At least one saved filter if using scoped roles

The 4 role presets

How to share access

1. Open the Team panel from the sidebar.
2. Click "Share Access" to launch the Share Wizard.
3. Step 1 — Who: Enter the email or phone of the person to invite. Toggle Spun Chat access on/off.
4. Step 2 — Role: Pick a preset (Viewer / Team Member / Manager / Full Control). Optionally click "Customize permissions" to toggle individual flags.
5. Step 3 — Filters: If using a scoped role, select which saved filters they can access.
6. Step 4 — Review: Confirm details and send the invitation.

8 granular permission flags

After choosing a preset, you can customize these individually:

• can_send_messages — Send text, media, voice
• can_schedule_messages — Schedule messages for later
• can_edit_shared_labels — Create/edit labels visible to the team
• can_edit_contacts — Modify contact details and notes
• can_set_admin_alarms — Create reminders for others
• can_use_ai — Access AI Compose, Summarize, Translate
• can_archive_chats — Archive/unarchive conversations
• can_manage_payment_reminders — Set up payment reminder flows

WARNING

can_schedule_messages and can_manage_payment_reminders both require can_send_messages to be enabled.

Contact visibility levels

• None — No contact details shown (phone, name hidden)
• Chat only — Can see chat messages but not phone numbers or contact details
• Full — Full access to contact information

Quick invite from contact drawer

You can also invite directly from any contact's detail drawer:

1. Open a chat → click the contact name.
2. Click "Invite by phone" in the drawer.
3. The Share Wizard opens pre-filled with that contact's number.

Pro tips

• Filter-scoped access is the key to security — create saved filters like "VIP Customers" or "Hebrew speakers" and assign them.
• Spun Chat toggle is separate from inbox access — you can give someone Spun Chat without any WhatsApp inbox visibility.

Troubleshooting

Problem	Solution
Can't assign scoped roles	Check you are on a paid plan - the Free Trial cannot share the inbox
Invited user can't see chats	Check their assigned filters — they may need broader filters
Permission toggle is greyed out	Some flags have dependencies (e.g., schedule requires send)
