Analyze Your WhatsApp Group Chats

If your team works inside dozens or hundreds of WhatsApp groups (partner groups, supplier groups, internal ops groups), Weave can read them for you and answer the questions a manager asks: what is still open, who on the team handled it, and what needs your decision.

This page walks through the exact steps: open Weave, tell it who your team is, pick the time range, ask, and save the question so you can run it again tomorrow.

What you need

  • A connected WhatsApp number that is in the groups. Weave reads only the groups your connected number is a member of. It never reads other groups, and asking it a question never posts anything in a group.
  • Your staff list. Names and phone numbers, pasted once (step 2). Without it Weave still sees who sent each message, but it cannot tell your team from partners and customers.
  • A question. Start simple and refine. Ready-made examples are at the end of this page.

Step 1: Open the Weave tab

  1. Click the Weave icon (sparkle) at the bottom of the sidebar.
  2. Make sure the Weave tab is selected at the top of the panel.

On a desktop screen a side panel opens next to Weave with three tabs: How to Use, Saved and History. You will use Saved in step 5.

Step 2: Tell Weave who your team is

Do this once. From then on every analysis can tell your team's messages apart from everyone else's.

  1. Paste your staff list into the Weave message box: one person per line, a name and a phone number with the country code. A job title is optional.
  2. Say what the list is, for example: "These are my employees, save them with the label Booking desk."
  3. Weave shows a confirmation card with a button such as Save 12 employees as contacts (the number and the wording follow your list and your language).
  4. Click the button. Weave creates or updates the contacts and puts them under the label you named.

Nothing is saved until you click the button. If a contact already exists with that number, it is updated, not duplicated. You can review the label later in Contacts.

Step 3: Pick the time range

The time range decides how far back Weave looks.

  1. Click the small button next to the message box that shows the current mode and range (for example Fast 24h, with a sliders icon). Its tooltip reads Advanced Weave controls.
  2. Under Time range, pick 24h, 3d, Week, Month, All or Custom.
  3. For Custom, choose a start date and an end date.

Weave reports times in the timezone of the device you are using. For a long report over many groups, choose Smart in the same panel: it reasons more deeply than Fast.

Step 4: Ask

Type your question in plain words. A good first question:

What happened in our groups today that needs my attention? Name the group and the message for every item.

Weave answers from the actual messages and names the group behind each item. A few tips:

  • Ask for evidence. "Name the group and the message for every item" keeps the answer checkable.
  • Ask it not to guess. "If something is unknown, say so" makes the gaps visible instead of filled in.
  • Refine instead of starting over. "Now only the partner groups" or "Add a section for supplier issues" works on the same answer.
  • Redo with new data. After you save your staff list or change the range, say "Run that analysis again" and Weave repeats the last request with the new context.

Reading the answer

  • "No reply found" is not "nobody answered". A reply may have happened by phone or in another group. Weave reports what is in the messages.
  • Counts, not scores. Weave counts messages, groups and active hours per person and quotes the messages behind a problem. It does not give employees a performance score; the judgment stays with you.
  • Members who hide their number are counted and labelled in every report, never silently dropped.

Hidden-number members

WhatsApp can hide a group member's number from everyone in the group, you included. Spun keeps working when WhatsApp hides the number.

What you will see. When Weave lists a group's members or reports on a group, such a member appears as a hidden-number member with no phone number, usually under the profile name they set in WhatsApp. They are counted and labelled in every report, never silently dropped, and no number is ever filled in for them.

What to do. To see who they are, ask Weave, for example: "List the hidden-number members you saw in our groups this week, with their profile names." If one of them has written to you directly, open that chat, find the Not identified yet card in its contact panel, and choose Link to a contact for someone you already know or Add as new for a newcomer. Link once, and every past and future message follows: Weave then uses the contact's name for that member in every group report, past messages included.

What is not possible.

  • Spun does not look up a hidden member's number. Nothing is looked up in bulk; Spun only keeps what WhatsApp sends with normal message traffic.
  • You cannot start a private message to a hidden member from a group, because there is no number to start it with. A message in the group reaches them like everyone else.
  • A member who has never written to you directly, and has no profile name, stays unnamed in reports until you can link them this way.

Step 5: Save the prompt and run it again

When a question gives you the report you want, save it so you do not have to type it again.

  1. Hover over your own message in the Weave conversation.
  2. Click the bookmark icon next to it (tooltip Save prompt). It turns into a check mark for a moment.
  3. Next time, open the Saved tab in the Weave side panel. Your question is listed under Saved Prompts.
  4. Click it to put it back in the message box, check the time range, and send.

Saved prompts are kept in the browser you saved them in, up to 20. To remove one, use the remove button next to it on the Saved tab.

Turning it into a routine

  • Every morning: run your saved report with the range set to 24h.
  • For the urgent part: set up a Group Intelligence monitor so the requests you care about are flagged as they arrive, instead of waiting for the morning report. An objective written for an operator could be: "Flag booking requests, cancellations and payment reminders in our partner groups; name the group and how urgent it is."
  • For a quick daily glance: the Daily Summary morning briefing can include a short AI recap of up to 5 groups, without asking anything.
  • Per group numbers: in the Groups Hub, open a group and click Analytics for its message volume and top senders.
  • For a daily voice note: a check-in rule lists at a deadline who has not sent theirs and prepares reminders for your approval. See Voice notes below.

Voice notes

Some teams report by voice: each member sends a short voice note in the group at the end of the day. Weave can read those too.

Before you ask. Voice notes are read from their transcripts, so Auto-Transcription must be on. Voice notes are then transcribed when they arrive.

The question to ask. For example:

Who sent voice notes in the ops group today? For each one: the time, how long it was, and a two-line summary of what they said.

What the answer lists. For each voice note: who sent it (the contact name, or the profile name for a member who hides their number), when, how long it was, and what was said. Asked for a summary, Weave groups the notes by sender.

Still transcribing. A note that arrived moments ago may still be transcribing, and a transcript can occasionally fail. Weave still lists that note with its sender, time and length, and says the transcript is not available instead of guessing what was said. Ask again a little later for the full text.

What counts. Only real voice notes. An audio file sent as an attachment is not counted as a voice note.

If the voice note is a daily rule. Instead of asking every evening, set up a check-in rule: pick the group, a deadline and a reminder text. At the deadline Spun lists who is missing and prepares a reminder for each of them. The reminders wait for your approval in Approvals; nothing is sent until you approve it. Members who hide their number cannot be reminded privately; a reminder posted in the group reaches them.

Questions that work

Copy any of these into Weave and adjust the names and groups to yours.

  1. "Analyze all our group chats from the last 24 hours and give me: the main problems, tasks that were not completed, who is responsible, the decisions and assignments made, and what needs my decision. Name the group and the message for every item. Do not guess; if something is unknown, say so."
  2. "Which requests in partner groups got no reply from our team within two hours today?"
  3. "Show Omar's activity in the groups this week: messages, groups, hours, what he answered."
  4. "Top 20 team members by group messages this month."
  5. "Who is in the Reservations Review group?"
  6. "Compare Omar and Layla this week: groups covered, requests answered, anything left open."
  7. "Which hotels were requested most this week, and which requests never got a price?"
  8. "List the decisions and instructions given in our internal ops groups yesterday, and whether each one got a confirmation."
  9. "What payment reminders or cancellation requests came in today, by group?"
  10. "Who sent voice notes in the ops group today? For each one: the time, how long it was, and a two-line summary of what they said."
  11. "Which members of the ops group did not send a voice note today?"
  12. "Summarize this week's voice notes from Sami: what he reported each day and anything he flagged as a problem."

To set up a check-in instead of asking, a manager can say: "Remind anyone in the ops group who has not sent a voice note by 20:00: 'Reminder: please send today's voice update.'" Weave creates the rule after you confirm it, and its reminders still wait in Approvals.

For a full management report, describe the sections you want in one prompt (for example: demand, team activity, problems by type, internal decisions, lost opportunities, early warnings, executive summary) and add your own rules, such as "a repeated follow-up is not a new request" and "no numeric scores without criteria". Save it once and run it every morning.

Tokens

Group analysis uses your plan's AI tokens. A daily report over hundreds of groups costs a few thousand tokens; Smart mode and longer ranges cost more. Check Settings → Plan & Usage to see what you have used.

Privacy

Weave reads and reports. The one thing Spun can send for you here, a check-in reminder, waits for your approval in Approvals first. Voice-note transcripts are text and are read like any other message, so the same staff notice covers them: tell your staff that their group messages are analyzed, in line with your local data-protection rules.
