Watch a WhatsApp group for a daily check-in: every expected member must post a voice note (or any media, by rule) by a local deadline on the active weekdays. At the deadline Spun records who was expected, who posted and who is missing, and prepares a reminder for each missing member. Reminders ALWAYS wait in Approvals - nothing is sent until someone approves it, and quiet hours, quotas and the outbound judge apply as they do to any AI-prepared message. Private reminders go to each missing member in their 1:1 chat and can greet them by their saved contact name; a group reminder is one message to the group listing the missing members. A member whose number is hidden (an @lid participant, even when a phone is on file) can never get a private reminder, and neither can a member who has no 1:1 chat with your number; both are recorded as skipped instead. A rule whose workspace has the AI Assistant (MCP) disabled records its run but prepares no reminders. Each member gets at most the configured number of reminders per day. The Check-ins screen lists every rule with its last run in one line (for example "12 expected, 9 sent, 3 missing, 2 reminders waiting for approval") and the names of the missing members, and a "Check now" button shows today's state so far without sending or preparing anything. Only workspace managers can create, edit, pause, delete or check a rule; everyone can see the rules and their results. The Intelligence dashboard can also show a "Check-ins today" card with, for each active rule, how many sent, how many are missing and who, and a link to the reminders waiting in Approvals. A manager can also ask Weave to create a rule ("remind anyone in Field Team who has not sent a voice note by 20:00"): Weave offers it with a confirmation button, finds the group by name (and asks which one when several groups match), and the rule it creates is the same as one made on the Check-ins screen, so its reminders still wait in Approvals. Changing, pausing or deleting a rule is done on the Check-ins screen.

How to use

  1. Open the Spun Tools menu and click "Check-ins" (in the Insights group), then "Create rule". Pick the group, the deadline time and timezone (the workspace timezone by default), the active weekdays, who counts (everyone in the group or chosen members from the group's member list, minus anyone you tick as excluded), what counts (voice notes or any media), where the reminder goes (a private chat with each member, or one message in the group), the reminder wording ({name} is replaced by the saved contact name, {names} by the list of missing members in a group reminder) and the most reminders per day (0 means no reminders, only the list of who is missing).
  2. At the deadline the rule runs on its own; the rule shows the latest run with expected, sent and missing members.
  3. Approve or dismiss the prepared reminders in Approvals (the "Open Approvals" link on the rule takes you there).
  4. Press "Check now" to preview today's state without preparing anything.
  5. To follow check-ins from the Intelligence dashboard, click Customize there and show the "Check-ins today" card.
  6. Or ask Weave to create one, for example "remind anyone in Field Team who has not sent a voice note by 20:00", and press the confirmation button it shows.
