How do I reply to guests on WhatsApp in their own language?

Spun translates a guest's chat both ways: you read their messages in your language and they receive your replies in theirs, on the WhatsApp number they already use. It is for hotels, hosts and travel agencies with guests from many countries and a team that does not speak every language. It runs on a flat monthly plan with team members free and a free trial, with no Business API. Voice notes can be written out as text, and on paid plans you can record in your language and send the voice note in the guest's.

Who this is for: a receptionist or travel agent who gets messages in languages they do not read.

Step 1: Translate one message

  1. Open the guest's chat.
  2. Open the menu on the message and choose Translate.
  3. The translation appears under the message with a line such as "Translated to English from Indonesian" when Spun can tell the original language.

Step 2: Translate the whole chat both ways

  1. In the guest's chat, click the globe icon in the chat header (Language & voice settings).
  2. On the Incoming tab, set Translate messages to to your language. New messages from the guest appear translated.
  3. On the Outgoing tab, set Translate my message to to the guest's language.
  4. Leave Preview before sending on if you want to check each translation before it goes.
  5. Write your reply in your own language and send. Review the translated preview above the message box, edit it or skip translation for that one message, then send.

The settings are saved per chat, so each guest keeps their own language.

Step 3: Read voice notes as text

  1. In Language & Voice Settings, open the Incoming tab.
  2. Turn on Auto-transcribe for this chat, or leave it on for all chats.
  3. Set the guest's spoken language in the row that says the guest "speaks", for better recognition.
  4. Set Show transcription in to your language to read the voice note translated.

Step 4: Send voice notes in the guest's language

On paid plans:

  1. On the Outgoing tab, set Record voice in to your language and Send voice in to the guest's language.
  2. Record a voice message as usual and preview the translated audio before sending.
  3. For incoming voice notes, set Hear voice in on the Incoming tab to play them back in your language.

Let AI help with the reply

  • In one-to-one chats, smart replies appear above the message box. Click one to insert it and edit before sending.
  • AI Compose in the + menu beside the message box drafts a reply from the conversation. With outgoing translation on, you still see the translated preview before anything is sent.

What to expect

  • Every translation is saved. Reopening a chat shows the translations you already asked for, and the same text translated to the same language is paid for once.
  • Translation uses your plan's AI credit. See Pricing.
  • A transcript that looks wrong for the length of the voice note is tried again with another speech engine, and is marked as possibly inaccurate if it still looks wrong.

Limits

  • Machine translation. Translations and transcripts are automatic. Check names, dates, prices and flight numbers before you confirm anything to a guest.
  • The language must be set or detected. Spun names the original language only when it can tell it.
  • Voice in another language is on paid plans, not in every plan.

What Spun does not do

  • It does not need WhatsApp Business API templates in each language. Your replies go from your normal number as ordinary messages.
  • It does not replace a human interpreter for legal or medical conversations.
  • It does not change the language of your quick replies by itself. Save a version per language, or let outgoing translation translate the text when you send it.
