A chatbot that answers incoming WhatsApp messages for you, set up on its own screen. You switch it on and choose when it is active: always, only during business hours, or only outside them. What it should do is written in an instructions box, which comes with ready-made ideas you can insert or copy, an Improve Prompt button whose rewrite you read and then apply or discard, and a warning listing any square-bracket blanks you left behind, so a half-filled instruction does not reach a customer. You also choose how many recent messages of the conversation are given to the model as context, the words that hand the conversation over to a person, and the message sent when that happens. A voice chatbot can answer a voice note with a voice note, with a chosen voice, a reply language or automatic detection from the message itself, and a choice of what happens when the voice cannot be produced: send the text instead, or send nothing. Replies are cleaned before they go out. WhatsApp renders no Markdown, so link syntax and heading marks are turned into plain text, and any web address the bot was not actually shown is removed rather than sent, because a convincing invented address is worse than a slightly clumsy sentence. A short pause before sending makes the reply arrive at a human pace instead of instantly. A conversation the chatbot has answered is tinted in the chat list until someone opens it, so you can see which chats were handled without you. It runs on your AI token budget.
How to use
- Open AI Chatbot from the Spun Tools menu; it is available to admins on a workspace with WhatsApp connected.
- Switch on Enable AI Chatbot and pick the mode: always active, during business hours only, or outside business hours only.
- Write the instructions, or open the ideas list and insert one as a starting point, and fill in any square-bracket blanks it warns about.
- Press Improve Prompt if you want it rewritten, then apply or discard what comes back.
- Set how many recent messages go to the model as context.
- Add the handoff keywords that pass a conversation to a person, and the message sent when that happens.
- Switch on the voice chatbot if voice notes should be answered by voice, and choose the voice, the language and what happens if voice generation fails.
- Save.
