How do I keep track of dozens of partner groups on WhatsApp?
Spun connects the WhatsApp number that is already in your partner, supplier, driver and cleaner groups and lists every one of them next to your direct chats, so a tour operator, DMC or umrah agency can follow them in one place. It runs on a flat monthly plan with team members free and a free trial, and it uses your own number with no Business API, which cannot join groups. Get short AI recaps of chosen groups in your morning summary, keep a standing question answered with a chat digest, or ask Weave what a group decided this week.
Who this is for: an operations manager or agency owner whose work happens in many WhatsApp groups and who mostly needs to know what is happening, not to post.
Pick the right tool
| You want | Use | Scope |
|---|---|---|
| A quick look at one group's activity | Analytics on the group in Groups | 7 and 30 days, top senders |
| One morning message about your key groups | Group Recaps in the Daily Summary | up to 5 groups, last 24 hours |
| A standing question kept up to date | Chat digest | all chats, or up to 25 chosen chats and groups |
| Alerts when something specific comes up | Group Intelligence monitor | the groups you select |
| An answer to a one-off question | Weave | the time range you pick |
Step 1: See your groups
- Open Groups from the sidebar.
- On the WhatsApp Groups tab, search for a group or filter by label. Label groups by type (Hotels, Transport, Sub-agents) so you can filter them later.
- Click a group to see its details and members. From there you can export the member list as a CSV file, or click Analytics for its activity over the last 7 and 30 days and its top senders.
Step 2: Add group recaps to your morning summary
- Open the Dashboard from the sidebar and find the Daily Summary widget.
- Turn on Daily Morning Summary and pick the send time.
- Choose delivery in Spun Chat or on your own WhatsApp number.
- Expand Group Recaps and select up to 5 groups. Each gets a short AI summary of its last 24 hours.
- Use Send Now to see a first one straight away.
Step 3: Keep a standing question answered with a digest
- Open Spun Tools → Insights → Digests and click New digest.
- Type the standing question, for example "Which bookings or transfers are still waiting for a partner's confirmation?".
- Choose All chats, or Choose chats and tick up to 25 chats or groups.
- Review the estimated cost and about how many messages a month it will analyse, then create it.
- Tick Include in daily summary to receive the answer as a section of your morning summary.
For a single chat or group, open its side panel, find the Digests card and click Ask another question.
Step 4: Get alerts with an AI monitor
- In Groups, switch to the Intelligence tab and click New monitor.
- Select the groups to watch and confirm the consent notice.
- Set the objective, for example "Flag cancelled transfers, changed pick-up times and payment questions; name the group".
- Choose who is notified and how: Immediate, Daily digest or Weekly.
- Optionally press Run test on recent messages, then create the monitor.
- Review what it finds on the Signals tab.
What to expect
- Opening a digest to read its stored answer costs nothing; a refresh folds in new messages. Each answer shows how many messages were analysed and links its claims to the messages behind them.
- Voice notes from drivers and guides can be written out as text for the chats and groups you pick, so recaps and digests can include them.
- Asking a question in Spun never posts anything in a group. Many agencies use Spun only to watch their groups.
Limits
- Only your number's groups. Spun sees only groups your connected number is a member of, and only messages since you linked plus the history handed over at link.
- Hidden numbers stay hidden. Members who hide their number in WhatsApp stay hidden in member lists and exports.
- Digest scope. A digest covers all chats or at most 25 chosen chats; each refresh reads a bounded number of recent messages, and a daily schedule uses one of the plan's workflow slots.
- Monitors find, people act. A monitor surfaces signals. It does not reply in the group.
- Transcripts are automatic. Check critical details such as pick-up times and flight numbers against the voice note.
What Spun does not do
- It does not join groups for you or read groups your number is not in.
- It does not connect to your booking system, so a "confirmed" in a group does not update a reservation.
- It does not send in groups without a person. Anything Weave wants to send waits in AI Sends for approval.
