A connected AI app (ChatGPT, Claude, Gemini or any MCP client) can help build your bots and your knowledge base, with two permissions per area that an org manager grants per API key or per connected app. Read Knowledge Base lets the AI list, read and search your own knowledge base articles and the suggestions waiting for review; Manage Knowledge Base lets it add and edit articles, change their tags, delete them and accept or reject suggestions. Knowledge changes apply at once, with no approval step, and an article the AI added shows "Added by AI connection" with the app's name and the time. These knowledge tools work on your organization's own articles only; questions about how Spun itself works use a separate Spun help search. Read Bots & Auto-Reply Rules lets the AI see your bots, your auto-reply rules and, when it can also read conversations, the conversations a bot handled. Create & Change Bots lets it create a custom bot on an auto-reply rule, edit its name, instructions, greeting, handoff and knowledge tags, and create or edit rules. A bot or rule the AI creates always starts switched off, and the AI can switch a bot off or edit a rule that is off right away. Turning a bot on, or changing a rule that is already live, never happens on the AI's word alone: it becomes a request in the AI Sends queue, marked "Turns a bot on" or "Changes a live bot", that only an org manager can approve, even when the app may send messages autonomously, and "Approve all" skips these requests. A request that nobody approves expires after 7 days. The AI can read the default bot from AI Chatbot settings but cannot change it. The Read-only analyst level includes reading the knowledge base, Assistant (no sends) adds managing it and reading bots, and Assistant with sends adds creating and changing bots.

How to use

  1. As an org manager, open Settings → AI Assistant (MCP).
  2. For an API key, tick the knowledge and bot permissions you want; for a connected AI app, pick its access level.
  3. Ask the AI to draft knowledge base articles or a bot for a rule.
  4. Check new articles in the Knowledge Base, where they show "Added by AI connection".
  5. When the AI asks to turn a bot on or change a live rule, open Spun Tools → Automate → AI Sends, read the bot, its trigger and its instructions, and approve or reject.
